This Privacy Policy explains how AISAWORKS CO., LIMITED (“AISAWORKS”, “we”, “us”) collects, uses and protects personal data. We are committed to handling personal data in accordance with applicable law, including the Personal Data (Privacy) Ordinance of the Hong Kong Special Administrative Region.

1. Information we collect

• Information you provide: name, company name, email address, billing and shipping addresses, phone number, artwork files, order details and any message you send us (for example via our quote form or by email).
• End-recipient details (fan-direct shipping): where you ask us to ship directly to your customers, the name, delivery address and contact details of those recipients, for the sole purpose of packing, dispatch and customs clearance. See section 6 below.
• Information collected automatically: basic technical data such as IP address, browser type and pages visited, where analytics or security tools are used.

2. How we use your information

• To respond to inquiries and prepare quotes.
• To process, produce, dispatch and ship orders.
• To communicate about orders, proofs, shipping and aftercare.
• To meet legal, accounting, tax and payment-compliance obligations.
• To prevent fraud and to protect our rights and the rights of others.

3. Legal bases

Where required, we process personal data on the basis of performing a contract with you, complying with legal obligations, our legitimate business interests, or your consent.

4. Sharing

We may share personal data with service providers who help us operate, such as shipping carriers, customs brokers, payment processors and email service providers, strictly to the extent needed to provide our services. We do not sell personal data.

5. Payment card data

We do not store or process complete credit-card numbers or sensitive payment credentials. Card payments are handled directly by PCI-DSS-compliant payment processors (for example Stripe); we receive only limited transaction data, such as the last four digits of the card, the amount and the payment status, as needed to reconcile orders.

6. Fan-direct shipping and end-recipient data

Where you instruct us to ship directly to your customers, we process the recipient’s name, delivery address and contact details as a processor acting on your instructions. In that role we use the data only to pick, pack, dispatch and complete customs documentation. We do not use end-recipient data for our own marketing or for any purpose beyond fulfilling your order.

7. International transfers

Our hosting, payment and shipping providers and other service providers may be located in, or process data in, jurisdictions outside Hong Kong, including Japan, the United States and the European Union. Where personal data is transferred across borders, we take reasonable contractual and organisational steps to protect it in line with applicable law.

8. Artwork and production files

Artwork files you submit are used solely to produce your order. We do not publish, resell or otherwise exploit your artwork. Files are retained only as long as needed for production, reprint reference (where agreed) or legal requirements.

9. Retention

We retain personal data only for as long as necessary to fulfill the purposes described here, or as required by law. Financial, billing and tax records are kept for the period required by Hong Kong law, generally 7 years.

10. Security

We take reasonable technical and organizational measures to protect personal data against unauthorized access, loss or misuse.

11. Your rights

12. Cookies

Our website may use minimal cookies or similar technologies for essential functionality and, where enabled, basic analytics. You can control cookies through your browser settings.
